Tips for using your checklist

Questions

How far ahead should I start planning a birthday party?

The planner starts a kids' birthday 7 weeks out (49 days) with the date, budget, guest list, theme and location. Graduation lists start 8 weeks out. Starting later works: the list moves overdue steps to a "Do these this week" group.

How long does it take to plan a kids' birthday party?

About 14 hours of work in all, spread over 7 weeks: 33 tasks, from 10 minutes to a couple of hours each. That count includes the 2-hour party and an hour of setup on the day.

What should I do the week before a party?

Confirm every vendor (7 days before), lock the headcount and shop for food and drinks (5 days), prep favors, decor and a playlist (4 days), then write the party-day schedule and send a final note to guests (3 days).

What should I do the day before a party?

Pick up the cake and set up what you can, pack a party-day kit, charge devices and share the run sheet with helpers, and make the final weather and space call.

Can I print the checklist?

Yes. Press Print and you get a clean list with an empty box by each task, its due date, minutes and who. Your ticks stay on this device and don't print.

Is there a checklist for a baby shower or a graduation?

Yes. Choose the party above. Baby showers, graduations, birthdays for grown-ups and house parties each have 37 tasks, for example the registry for a shower or a photo board for a graduation.
